This Cancellation and Refund Policy explains the conditions under which bookings made through Hot Air Balloon Cappadocia (hotairballooncappadocia.com) may be cancelled, modified, or refunded.
By confirming a booking with us, you agree to the cancellation and refund conditions outlined below.
This policy applies to all services offered through our website, including:
- hot air balloon flights
- Cappadocia tours and activities
- tour packages
- airport transfers
- accommodation arrangements
Cancellation by the Customer
If you need to cancel your booking for any reason, you must submit a written cancellation request via email.
Cancellation charges depend on how many days’ notice is given before the scheduled service.
Tours, Activities, and Transfers
14 days or more before the service date.
We accept cancellations and will issue a refund, minus a 15% administrative fee on the deposit amount.
7 days or less before the service date
The booking becomes non-refundable.
With cancellation 24 hours or less before the tour starts
Unfortunately, we’re not able to issue a refund, and you will be charged in full.
Package Tours
For multi-day tours or packages including flights and accommodation, the following rules apply.
30 days or more before departure
14 days or less before departure
The booking becomes non-refundable.
Airline tickets are subject to the respective airline’s cancellation policies.
Date Changes
Customers may request a change to the travel date, subject to availability.
Tours, Activities, and Transfers
• Date changes up to 7 days before the tour date are due to availability, and current fees, but are free of additional administrative charge.
• Date changes requested within 6 days of the service date are due to availability and current fees, but incur an additional administrative charge of 10% of the total booking amount.
Package Tours
For package tours including flights:
• Changes made 14 days or more before departure may be possible but may include airline change fees or ticket price differences.
• Changes requested within 6 days before departure may not be possible; all services will be fully charged.
Open-Date Option
To provide flexibility for travelers, we offer open-date reservations.
Customers may convert their booking to an open-date reservation if they request it at least 7 days before the service date.
Conditions for open-date bookings:
- open-date bookings are non-refundable.
- There is no expiration date.
- New travel dates must be confirmed by email.
- Reservations remain subject to availability and current rates.
Open-date reservations may receive priority when rebooking.
Weather Cancellation (Hot Air Balloon Flights)
Hot air balloon flights are highly dependent on weather conditions and approval from the aviation authority.
Flights may be canceled due to:
- strong wind
- rain
- poor visibility
- aviation authority restrictions
If balloon flights are canceled due to weather:
- The flight may be rescheduled to the next available morning, due to current rates.
- If rescheduling is not possible because the traveler is leaving Cappadocia, a full refund for the balloon flight will be issued.
Cancellation by the Company
Hot Air Balloon Cappadocia reserves the right to cancel or modify services due to circumstances beyond our control, including:
- extreme weather conditions
- safety concerns
- operational requirements
- insufficient participation
- force majeure events
In such cases, customers may be offered:
- an alternative tour
- a new travel date
- a full or partial refund, depending on the situation
No-Show Policy
If you don’t join the service at the scheduled time and location, your booking will be treated as a no-show, and the full service fee will be charged.
No refunds will be issued for:
- late arrivals
- missed departures
- unused services
Refund Processing
Refunds will be issued using the same payment method used for the original booking whenever possible.
Refund processing times may vary by payment provider and bank, but typically take 5–15 business days.
