These Terms and Conditions apply to all bookings made through Hot Air Balloon Cappadocia (hotairballooncappadocia.com) and any services provided by our company.
By making a reservation through our website, email, phone, or an authorised agent, you confirm that you have read, understood, and agreed to these Terms and Conditions on behalf of yourself and all members of your booking.
These terms apply to all services offered by us, including but not limited to:
- Hot air balloon flights
- Cappadocia day tours
- Tour packages
- Activities
- Airport transfers
- Accommodation arrangements
Booking Responsibility
The person whose name appears on the booking will be considered the lead traveller.
The lead traveller accepts these Terms and Conditions on behalf of all participating persons.
It is the responsibility of the lead traveller to ensure that all travellers understand and agree to these conditions.
Prices and Website Information
At the time of publication, all prices displayed on our website are accurate.
However, we reserve the right to modify:
- prices
- itineraries
- vehicles
- accommodations
- services or facilities
without prior notice if required due to operational reasons.
Price adjustments may occur due to factors such as:
- fuel price increases
- airline ticket changes
- supplier cost adjustments
Booking Confirmation
A reservation is considered confirmed only after payment has been received, and you have received a written booking confirmation.
Depending on the service booked and the season, a deposit between 30% and 100% may be required to confirm the booking.
Once payment is received, a booking confirmation or service voucher will be issued.
Cancellation and Refund Policy
If a client wishes to cancel a reservation for any reason, the following cancellation conditions apply.
Balloon Flights, Tours and Transfers
14 days or more before the service date.
We accept cancellations and will issue a refund, minus a 15% administrative fee on the deposit amount.
7 days or less before the service date.
The booking becomes non-refundable.
With cancellation 24 hours or less before the tour starts.
Unfortunately, we’re not able to issue a refund, and you will be charged in full.
Package Tours
For multi-day tours or packages including flights and accommodation, the following rules apply.
30 days or more before departure
A refund of 90% of the total tour cost will be issued, in addition to any applicable airline ticket and hotel cancellation fees.
14 days or less before departure
The booking becomes non-refundable.
Airline tickets are subject to the respective airline’s cancellation policies.
Open Date Policy
To provide flexibility for travellers, we offer open-date reservations.
Customers may convert their booking to an open-date reservation if they request it at least 7 days before the service date.
Conditions for open-date bookings:
- open-date bookings are non-refundable.
- There is no expiration date.
- New travel dates must be confirmed by email.
- Reservations remain subject to availability and current rates.
- Open-date reservations may receive priority when rebooking.
Changing Travel Dates
Balloon Flights, Tours and Transfers
Date changes up to 7 days before the tour date are subject to availability and current fees, but are free of any additional administrative charge.
We can accommodate date changes within six days of the service date, subject to availability and current fees, but there will be an additional 10% administrative charge of the total booking amount.
Package Tours
For package tours that include flights:
• Changes made 14 days or more before departure may be possible but may include airline change fees or ticket price differences.
• Changes requested within 6 days before departure may not be possible; all services will be fully charged.
Weather Cancellation for Balloon Flights
Hot air balloon flights are fully dependent on weather conditions and aviation authority approval.
If weather conditions do not allow safe operation:
- The flight may be rescheduled to the following morning, subject to availability and current rates.
- If rescheduling is not possible because the traveller is leaving Cappadocia, a full refund for the balloon flight will be issued.
Insurance
Hot air balloon flight prices include the mandatory passenger insurance required by Turkish aviation regulations.
Other services, such as tours, transfers, and activities, do not include personal travel insurance unless specifically stated.
We strongly recommend that travellers purchase personal travel insurance covering:
- medical expenses
- trip cancellations
- baggage loss
- personal liability
Liability
Hot Air Balloon Cappadocia acts as a tour organiser and booking agent for services operated by licensed suppliers.
We cannot be held responsible for events beyond our control, including but not limited to:
- weather conditions
- flight delays or cancellations
- mechanical breakdowns
- strikes
- political or security situations
- natural disasters
- theft or loss of personal belongings
The traveller must bear any expenses arising from such situations.
Itinerary Changes
We reserve the right to modify tour itineraries when necessary due to:
- weather conditions
- operational requirements
- supplier availability
- safety considerations
In such cases, we will provide alternative arrangements of similar value whenever possible.
Participant Conduct
We reserve the right to refuse participation or remove a traveller from a tour if their behaviour:
- threatens the safety of others
- disrupts the tour experience
- violates local laws or safety instructions
In such cases, no refund will be issued.
Late Arrivals or No-Shows
If a traveller:
- fails to join a tour after departure
- arrives late to the meeting point
- leaves the tour before completion
No refund will be provided.
Travel Documents
It is the traveler’s responsibility to ensure that all required travel documents are valid, including:
- passport validity
- visas
- health requirements
We are not responsible for missed services due to incomplete or invalid travel documentation.
Governing Law
The laws of the Republic of Türkiye govern these Terms and Conditions.
Any disputes arising from bookings or services shall be subject to the jurisdiction of the competent courts of Türkiye.
